Job Summary/Basic Function

About This Role:

Work requires contacts with management personnel from other departments, including coordinators, directors, chairpersons, and assistant deans. Contacts may require the consideration of different points of view to reach agreement. Elements of persuasion may be necessary to gain cooperation and acceptance of ideas. Also, performs the duty assignment after receiving general instructions as to methods, procedures, and desired end results. There is some opportunity for discretion when making selections among a few, easily identifiable choices. The assignment is usually reviewed upon completion.

What You'll Do – Position Responsibilities

  • Provides executive level support and customer service by assisting in the day to day operations;
  • Maintaining daily schedule, setting up meetings;
  • Typing correspondence;
  • Answering and screening telephone calls; greeting visitors; assisting customers;
  • Handling incoming and outgoing mail;
  • Taking minutes at meetings;
  • Preparing reports;
  • Processing invoices and expense reports for payment;
  • Maintaining filing system;
  • Creating and maintaining spreadsheets;
  • Interacting with students, faculty, chairs, deans and other office staff.
  • Manages travel and prepares reimbursements by registering employee for conference, recruitment, athletic event, etc.; preparing request to travel; making hotel, flight, and car rental reservations; processing travel voucher forms upon return of employee; reconciling travel expenses;
  • Preparing reimbursements;
  • Processing incoming and outgoing correspondence, emails and inner office memos;
  • and performing special assignments as needed.
