The Sibley School of Mechanical and Aerospace Engineering (MAE) is one of the largest academic units within Cornell University and is home to the mechanical engineering (ME) B.S. degree program, as well as graduate programs in the fields of mechanical engineering, aerospace engineering (AE) and theoretical and applied mechanics (TAM). MAE's mission is to conduct visionary research in pursuit of the world's next great advances while providing a world-class education to tomorrow's leaders in the fields of mechanical and aerospace engineering.

What you will do:

The Faculty Administrative Assistant will provide direct administrative support to assigned faculty (12-15) in a highly visible, fast-paced team environment. Duties will include:

  • Making travel arrangements and preparing reimbursements for faculty, students, and visitors. Coordinating and scheduling appointments, conference activities, and other events.

  • Ordering supplies for offices, classes, and research labs.

  • Photocopying exams, notes, and other materials.

  • Updating and maintaining web sites using content management software.

  • Maintain faculty profiles in Activity Insight.

  • Must be able to anticipate faculty needs and actively seek solutions.

  • This position is full-time and is located in Ithaca, New York. This position is expected to work on the Ithaca campus as well as perform a portion of the work remotely under the current conditions.

    What We Need:

    Formal training beyond a HS diploma of 6 months to 1 year, with 2 to 4 years work experience. Demonstrated ability to provide support and a high level of customer service to a variety of individuals. Consistently produce accurate and on-time work. Must be proficient user of MS Word, Excel, PowerPoint, Adobe Acrobat. High initiative, teamwork, and enthusiasm required. Must be able to anticipate faculty needs and actively seek solutions. Requires the ability to troubleshoot and solve a wide variety of problems, finding appropriate help when needed. Must be proactive and service-oriented.

    Associates Degree with previous experience providing administrative support in an academic environment.
