Special Conditions
Candidates must be proficient in Microsoft Office Programs ( e.g. Word, Excel, PowerPoint, and Publisher). This position will have frequent contact with donors and will need to adhere to a strong code of ethics to maintain donor confidentiality. The person in this position will be asked to use their personal vehicle for work-related deliveries and errands as needed.
Work Schedule
Monday – Friday 8:00 a.m.- 4:30 p.m.
May need to work beyond normal work schedule during peak periods including some travel..

Provides administrative support to the AVP, University Development, and the Individual Giving team as well as the Sr Director, Alumni Advancement, and the Alumni Advancement team to include maintaining calendars and scheduling onsite/offsite meetings and appointments. Secures meeting room reservations and catering arrangements. Coordinates and schedules candidate interviews for vacant positions within the units.
Duties & Responsibilities
Assists internal and external visitors and callers including directing them to the appropriate person/department or meeting location. Reviews incoming mail, internal forms, and other paperwork to ensure completeness, accuracy, and conformity within established procedures. Routes mail, internal forms, and other documents to the appropriate individuals and departments for approval or action. Submits Physical Plant WORQ work orders and SciQuest (Tiger Buy) supply requisitions. Monitors and maintains the inventory of office supplies. Ensures receipt of all ordered supplies and follows up with vendors as necessary for missing or return items. Serves as a manager of the division's premiums including identifying and purchasing items and creating an online inventory and managing the distributions of premiums. Assists the Financial Manager in Alumni Advancement with reconciling payments, purchases, and reimbursements.

Proficiently utilizes mail merge and other functions in Microsoft Office programs to create labels, letters, spreadsheets, and reports. Performs complex research and compiles, organizes, and analyzes the information to prepare comprehensive reports. Assists with coordinating unit activities/functions and is responsible for keeping a record of RSVPs for events as needed. Reserves, confirms and reconciles travel expenditures for units' staff. Manages the setup of the quarterly BOV meetings which includes coordinating the meeting logistics (RSVPs, catering, and physical plant and A/V needs) as well as taking meeting notes.

Will provide backup support to the division's other Administrative Associates as required during their absence or with DocuSign. Obtains mail and runs off- campus errands as requested. Assists other units within the division as workflow demands.
