The Viterbi Admissions and Student Engagement Office (VASE) is seeking an Administrative Assistant to join our team. The office handles recruitment, admissions, and central advisement of Viterbi School of Engineering graduate and undergraduate students. We support Distance Learning graduate students and noncredit professional program participants. The Administrative Assistant reports to Department Business Manager.
Primary Responsibilities Include:
Manage front desk operations including but not limited to answering multiline phone system, assisting guests and student visitors, screening and prioritizing incoming inquiries and determining action required, and processing the incoming and outgoing mail.
Assist VASE Business Affairs' team with various financial responsibilities such as procurement of goods and services, invoice payments, vendor setup, and communication, order of office supplies, and maintenance and tracking of office equipment. Manage room reservations and course evaluations.
Performs other related duties as assigned or requested

Additional Information:
This is an onsite position at USC's University Park Campus located in Los Angeles, California. This position is eligible for remote work occasionally. The Administrative assistant will be expected to work onsite for at least 4 days per week. This position is not eligible for fully remote work.
The hourly rate range for this position is $25.48 - $28.39. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope of responsibilities of the position, the candidate's work experience, education/training, key skills, internal peer equity, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
Minimum Qualifications:
Minimum Education: Associate's degree, Combined experience/education as substitute for minimum education Minimum Experience: 2 years Minimum Field of Expertise: Secretarial or specialized clerical, including some administrative experience.
Preferred Qualifications:
Bachelor's degree with 2 or more years of experience
Strong organizational and communication skills.
Proficient computer skills including Word, Excel, and PowerPoint.
