Work Performed
· Serve as the Administrative Assistant to senior administration, to include the Vice Chair for Finance and Administration, Vice Chair for Quality, Director of Practice Operations & Education, and three administrative directors (Associate Chief Administrative Officer, Senior Grants and Contracts Manager, HR Departmental Director) as needed. Supports senior administration by controlling and maintaining records for senior administration and department; generating detailed presentations and other deliverables needed for business operations in clinical and academics; and assisting/advising senior administration and staff members on administrative issues/problems.
· Compile reports and analyses setting forth progress, adverse trends and appropriate recommendations or conclusions. Support business operations and strategic planning with analysis and recommendations based on data.
· Develop communications and maintain the Department of Pediatrics' intranet site by editing/formatting content, auditing the intranet to ensure accurate information is posted, and managing the upload process of departmental information and documents.
· Provide support for the Department of Pediatrics' quality initiatives, quality jam sessions, and the Quality Review Board by creating detailed presentations and other deliverables needed for business operations in clinical and academics.
· Provide backup support for the Faculty Development and Equity, Diversity, Inclusion (EDI) Program Coordinator with duties such as managing the Vice Chair for Faculty and the Vice Chair of EDI's meetings, agendas, and appointments.
· Perform other related duties incidental to the work described herein. Required Qualifications at this Level
Education/Training: Work requires a general educational background normally equivalent to a full high school education plus two years post-secondary education in a business-related field.
Experience: Work requires 1-year related business or administrative experience to become familiar with general personnel practices, accounting and
budgeting principles and coordination of major office activities or any other equivalent combination of relevant education and/or experience.
Skills: Experience supporting vice chairs, and department leadership. Ability to take direction and feedback, apply knowledge and skills using logic and reasoning to identify alternative solutions to resolve administrative issues/problems independently or with others.
