SUMMARY:

This position provides essential support to the Vice President for Spiritual Formation & Christian Community (VP for SFCC) by coordinating administrative tasks and projects, facilitating internal and external communication, and working with student workers to effectively represent SFCC to various campus stakeholders.

DUTIES AND RESPONSIBILITIES:

Other duties may be assigned.

  • Provide administrative assistance to the VP for SFCC
  • Manage and coordinate SFCC calendars (including primary responsibility for the SFCC calendar and VP/SFCC calendar)
  • Take notes for staff and leadership team meetings and flag items for follow-up
  • Correspond on behalf of the VP for SFCC as requested
  • Order business cards, nametags, and office supplies for SFCC staff
  • Manage SFCC information (address changes, housing records, student holds, etc.)
  • Coordinate SFCC facilities management (including scheduling of second floor Corum rooms)
  • Collect and process invoices, expense reports, credit card reconciliations, and check requests for payment
  • Effectively function as the initial point of contact and support for CU students.
  • Field initial questions and walk-in appointments for appropriate referral and follow-up
  • Monitor and respond to email (including [email protected])
  • Monitor and respond to phone calls (including voicemail)
  • Coordinate meetings for title IX, student care and disciplinary follow-up in a FERPA-compliant manner
  • Effectively represent the SFCC department to other campus stakeholders.
  • Admissions – coordinate SFCC involvement in campus visit events and Welcome Day
  • Facilities – submit work orders and coordinate facilities scheduling
  • Business Office – assist with budget tracking and budget reports
  • Marketing – submit and track marketing requests, ensure updated information regarding SFCC in all marketing materials (catalog, website, viewbooks, etc.)
  • Food Service – submit requests for special events and facilitate clear communication regarding meal plans
  • Hire, support, and supervise the SFCC student desk workers as they:
  • Provide phone support and front-desk coverage
  • Coordinate filing of student records (with attention to and compliance with FERPA protocols)
  • Approve material to be posted on campus bulletin boards
  • Coordinate the reservation of display tables in the Corum
  • Provide logistical support to the chapel attendance process.
  • Ensure the accurate and timely maintenance of the chapel database (in coordination with IT staff)
  • Respond to initial student inquiries
  • Participate in the chapel attendance review team by providing logistical support to chapel accommodation requests
  • Follow-up on student attendance issues including the review of submitted make-up papers, assignment of fines, and coordination with the Business Office regarding fines and holds
  • Provide logistical support to the student leadership hiring process
  • Assist in the promotion and marketing of student leadership opportunities
  • Work with SFCC leadership to confidentially maintain the student leadership application materials
  • Coordinate communication with applicants for student leadership positions
  • Provide logistical support for hiring events (such as interview schedules and group interview meetings)
  • REQUIRED KNOWLEDGE, SKILLS and ABILITIES:

  • Associates degree required. Bachelor's degree preferred.
  • Office administration experience demonstrating organizational skills, proactivity, and attention to detail
  • Proficiency in MS Office suite and capacity to quickly become proficient in additional software applications
  • Excellent communication skills (verbal and written) and capacity for customer service
  • Love for students and proven ability to relationally connect with them
  • Ability to multitask, produce accurate work in a timely manner and independently manage assigned projects
  • Proven discretion and capacity to maintain a high level of confidentiality
