Job Summary

Under the supervision of the Director of Housing, the administrative assistant performs duties relative to service of faculty, staff, and students in carrying out functions of the Student Life Office and the Housing Office. Responsibilities require the exercise of independent judgment, complete confidentiality, and technical knowledge of computer programs.

Starting salary range is $24,000 to $26,000 depending on experience.

Duties and Responsibilities

  • Assist the university in implementing the statement of purpose
  • Assist the university in implementing the institutional and financial plan
  • Serve as the first contact for students (answer phones, assist students at the front counter)
  • Provide administrative support to the student life and housing offices, i.e. CAMS, student identification cards, parking decals, receipt of monies, student folders, and telephone
  • Maintains financial records for the Housing Office including: housing prepayments, requisitions and purchase orders, submits receipts for advances or reimbursement
  • Must be able to implement and maintain filing systems for various student records and documents
  • Serve as a resource person for students and staff members with the ability to refer when needed
  • Monitor and update the student affairs website
  • Design and update the university announcements for publication via electronic monitor
  • Assist with weekly chapel
  • Assign charges to student accounts for citations and fees as needed
  • Supervise student workers
  • Maintain supplies for parking decals, ID cards, and general office operation
  • Monitor issuance of student handbook
  • Staff the Student Life Office for extended hours during Preview Days, first week of each term, and other designated times
  • Must have experience in proof reading and editing
  • Exercise discretion and independent judgment with respect to matters of significance
  • Assist with other duties as assigned by the Vice President for Student Affairs
  • Required Qualifications

  • Ability to use common office productivity software, including Microsoft Office suite (Word, Excel, and Outlook). Ability to learn KEYSCAN, Onity, Netbox, and other WCU software
  • Ability to communicate effectively both verbally and in written form; ability to effectively present information and respond to inquiries
  • Ability to solve practical problems and deal with a variety of situations and people
  • Ability to respect and adhere to the strict confidentiality requirements of the student judicial process
  • Ability to work independently, complete multiple assignments, meet deadlines, exercise good judgment
  • Ability to work in a group setting
  • High school diploma
  • Preferred Qualifications

  • Experience in customer service
  • Bachelor's degree
  • Physical Demands

  • Must possess mobility to work in a standard office setting, and to use stand office equipment including a computer
  • Must have vision to read print materials and a computer screen; hearing and speech to communicate in person and over the phone
  • Must have the ability to sit or stand for extended periods of time
  • Must have strength and agility to move files, paper boxes, and minor office equipment
