To provide highly skilled administrative support service to the Associate Vice President for Budgets, Planning and Analysis and to the areas supervised by this administrator. Responsible for daily office management and administrative functions related to departmental fiscal management, budget preparations, correspondence, and personnel matters. This position requires complex decision making while exercising initiative and independent judgment.

Essential Duties and Responsibilities

  • Relieves administrator of a wide variety of internal administrative duties and a large volume of decisions which requires a thorough understanding of the functions, programs, and policies of the University.
  • Provide administrative support to AVP and manages administrator's calendar, arranges meetings, prepares the agendas, and takes minutes.
  • Arranges travel for departmental staff and prepares travel reimbursement vouchers.
  • Creates requisitions for ordering furniture, equipment, and supplies.
  • Plans and coordinates activities, lunches and other events that happen throughout the year.
  • Assists with the coordination and/or participates in special projects throughout the year to include committee coordination and year-end projects.
  • HR processing/on-boarding, processes documentation, eforms, etc., entire hiring process start-to-finish.
  • Maintains time leave usage, employee records, and worker's compensation.
  • Reviews and approves documents including purchase orders, vouchers, transfer of funds and other departmental expenditures.
  • Performs budget office tracking and analysis of assigned department budgets and position funding.
  • Analyze and complete any requested budget transfers.
  • Asset management and compliance. Administrative liaison with other units and outside organizations.
  • Determines records that need to be shredded according to Records Retention Schedule.
  • Stay abreast of UTA policies and procedures.
  • Performs other duties assigned.
  • Required Qualifications

  • Bachelor's degree in accounting or finance with 2 years of progressively responsible experience in finance or accounting.
  • Equivalent combination of relevant education or experience may be substituted as appropriate.
  • Excellent accounting research skills. Experience with fund accounting, PeopleSoft Finance, and proficiency in Microsoft Excel required. Excellent written and verbal communication skills, individual initiative, and ability to work effectively with diverse groups of people are required.

  • Preferred Qualifications

  • Bachelor's degree with a major in accounting or finance with 5 years of experience in university budget, finance, or accounting.
  • Ability to complete projects with minimal supervision.
  • Proficiency in PeopleSoft-Finance and Planning and Budgeting Cloud Service (PBCS).
  • Other requirements: Specific job requirements or physical location of position allocated to this classification render the position security sensitive and thereby subject to the provisions of Texas Education Code 51.215.

    Working Conditions

    General office working environment with opportunity to work hybrid. Work is generally sedentary in nature but may require standing and walking for up to 10% of the time. Standard computer equipment made available. Extended hours may be required during peak processing of projects and the annual budget preparation.
