Job Summary

To provide varied administrative support of a unit's routine business or academic activities. Responsible for a variety of administrative duties in a department requiring moderate exercise of independent judgment, initiative and ability to make decisions relative to office operations.

Essential Duties and Responsibilities

  • Point of contact for travel request authorizations, conference registration payments, travel reimbursement reports, travel advances and exceptions to regulations as needed.
  • Works closely with Travel Services to resolve issues.
  • Processes payment vouchers to vendors. Works closely with Financial Analyst on a daily basis to resolve issues and provide administrative support.
  • Processes payment vouchers as directed by Grant Accounting to subcontractees.
  • Maintains/tracks stock of supplies, orders research material requested for students and research staff.
  • Works with end-users to garner quotes from vendors, creates requisitions/Purchase Orders and receivers in UT Share.
  • Point of contact for MAVeShop purchases, enters cost center and project numbers for all purchases.
  • Point of contact for PaymentWorks.
  • Processes monthly Pro-Card logs in PeopleSoft.
  • Collects monthly logs from all staff members that hold a purchase card, posts cost center or project information in PeopleSoft.
  • Creates Journal Entries, Interdepartmental Transfers, Budget transfers when directed by Financial Analyst.
  • Works closely with HR Specialist to provide back-up support as Timekeeper for Time Clock Plus entries and corrections.
  • Answers UTARI main telephone line, relays messages, point of contact for front door deliveries and guests. Point of contact for all eShip Global shipments (FedEx, UPS, etc).
  • Sorting of daily mail delivery, restocking paper in copier, maintaining organized mail table area.
  • May be asked to assist with events; food orders, set-up, clean-up, printing name badges, arrange schedules and meetings.
  • Performs other duties as assigned
  • Required Qualifications

    Bachelor's degree with one (1) year upper-level secretarial experience or high school with five years of increasingly responsible administrative, secretarial and clerical experience with one year of supervisory experience. Experience using Microsoft Office.

    Preferred Qualifications

    Working knowledge of Peoplesoft but training will be provided.
