Job Summary

Provides varied administrative and financial support for the Office of Community Standards. Requires exercise of independent judgment, initiative, and ability to make decisions relative to office operations and university policy and procedures.

Essential Duties and Responsibilities

  • Supervises department's case management process, managing deadlines, follow-ups, and scheduling for staff members.
  • Composes moderately complex correspondence and sends out routine correspondence and form letters. Responsible for front office coverage (walk-ins and phone), including assisting individuals, answering questions, and advising on process.
  • Requires specialized training in Maxient software, an online records database.
  • Prepares the departmental budgets, maintains and reconciles departmental accounts.
  • Prepares vouchers for payment or reimbursement, including special contracts working closely with Business Affairs for approvals in software purchasing and office equipment and goods and services.
  • Recruits, hires, trains, and supervises employees for front desk. Responsible for training on customer service, office procedures, policies, and case management.
  • Responsible for the processing and completion of background checks for students applying for University programs, professional schools, or the workforce.
  • Serves as the primary department contact for the university's record retention policy. Develops and ensures procedures for disciplinary records are in accordance with policy. Manages a system of internal controls concerning records retention, and maintains procedures for records retention, storage, and destruction.
  • Coordinates travel, including authorizations and travel advance vouchers. Maintains and reports employee time usage for all department employees.
  • Responsible for the processing and completion of background checks for students applying for university programs, professional schools, or the workforce. Performs other duties, as assigned.
  • Required Qualifications

    Bachelor's degree and one (1) year upper-level secretarial experience or high school diploma with five (5) years of increasingly responsible administrative, secretarial and clerical or the equivalent experience.

    Preferred Qualifications

    Three (3) years of upper level secretarial experience. Knowledge, Skills and Abilities: Use of personal computer and standard office equipment. Proficiency in all phases of work performed.
