Job Summary
The Administrative Assistant I for the Office of Research and Faculty Affairs
(ORFA) provided administrative support to the Office of Research and Faculty
Affairs, including the Associate Dean, Assistant Dean, and PhD Program
Director.
Essential Duties and Responsibilities
Provides administrative assistance to the Associate Dean, Assistant Dean,
PhD Program Director, with programs and activities for the Office of
Research & Faculty Affairs.
Responsible for daily ORFA administrative duties, such as answering
incoming calls, emails, assisting visitors, maintaining the PhD Manual and
Website.
Assists with scheduling, coordinating, and implementation of ORFA events.
Maintains calendar of events and arranges schedules and meetings.
Regular communication with Office of Graduate Studies and the Office of
Records and Registration on PhD admissions and graduations.
Assists with all aspects of the admissions process, enrollment in courses,
maintaining of folders and updated degree plans for the PhD Program.
Communicate with all PhD inquiries made through emails and phone calls/
Tracks and maintain prospective PhD students applications.
Maintains records, document minutes, schedules meetings, provides
communication, and administrative support for the Research and PhD Program
Committee.
Maintains research related filing systems and archives including Digital
Measures, notices of intent, grants submitted, grant tracking spreadsheet,
annual and semi-annual reports for the Dean and Associate Dean.
Assimilates and compiles data to produce final reports.
Required Qualifications
Bachelor's degree with one (1) year upper level secretarial experience.
Equivalent combination of relevant education and experience may be
substituted as appropriate.
Preferred Qualifications
Masters of Social Work (MSW) Degree.
Excellent oral and written communication skills.
Experience with MyMav (PeopleSoft), and document imaging experience
(Image Now). Experience with MS Office (Word, Excel, Powerpoint, etc),
creating posters, and flyers (Piktochart, Prezi)
Knowledge of office management principle, methods and procedures to
complete work assignments.
Ability to work independently and carry out a variety of critical and time
sensitive projects without detailed instructions.
