Provide varied administrative support within the Advising Office of the Department of Electrical Engineering. Duties include relieving the Advisors of a variety of administrative duties, tracking applications/admissions, communication with students via email, phone and in person. Assists with course scheduling and other course-related matters. Processes student payroll assignments. Processes student travel-related documentation and miscellaneous reimbursements. Performs other duties as assigned.

Essential Duties and Responsibilities

  • Supports Advising Office processes by making decisions which require an understanding of the functions, programs, and policies of The University of Texas at Arlington and Department.
  • Acts as communication aid and point of contact within the Advising Office.
  • Greets students, answers main Advising Office phone and returns calls and emails promptly.
  • Enters course schedules and catalog entries, room assignments, attaches professor and GTA names to courses.
  • Supports Advisors with tasks which include printing transcripts, maintaining student files, enrollment and admission assistance, graduate degree plans, petitions.
  • Enters student payroll assignments, and performs Timekeeper duties for student employees.
  • Enters related documents for payroll changes and terminations.
  • Performs financial related matters including student travel authorizations and reimbursement, miscellaneous student reimbursements.
  • Orders small amount of office supplies used the the Advising Office.
  • Requests service and supplies for the Advising Office copier.
  • Performs other duties as assigned.
  • Required Qualifications

  • Bachelor's degree with one (1) year of upper level administrative assistant experience, or high school with five (5) years of increasingly responsible administrative or clerical experience.
  • Intermediate or above skills in Outlook, Word, and Excel.
  • Excellent verbal and written communication skills.
  • Preferred Qualifications

  • Bachelor's degree with two (2) years of administrative or clerical experience, or equivalent experience with high school and six (6) years of increasingly responsible administrative or clerical experience.
  • Experience with PeopleSoft based system.
