Job Summary
Provide varied administrative support within the Advising Office of the
Department of Electrical Engineering. Duties include relieving the Advisors of
a variety of administrative duties, tracking applications/admissions,
communication with students via email, phone and in person. Assists with
course scheduling and other course-related matters. Processes student payroll
assignments. Processes student travel-related documentation and miscellaneous
reimbursements. Performs other duties as assigned.
Essential Duties and Responsibilities
Supports Advising Office processes by making decisions which require an
understanding of the functions, programs, and policies of The University
of Texas at Arlington and Department.
Acts as communication aid and point of contact within the Advising Office.
Greets students, answers main Advising Office phone and returns calls and
emails promptly.
Enters course schedules and catalog entries, room assignments, attaches
professor and GTA names to courses.
Supports Advisors with tasks which include printing transcripts,
maintaining student files, enrollment and admission assistance, graduate
degree plans, petitions.
Enters student payroll assignments, and performs Timekeeper duties for
student employees.
Enters related documents for payroll changes and terminations.
Performs financial related matters including student travel authorizations
and reimbursement, miscellaneous student reimbursements.
Orders small amount of office supplies used the the Advising Office.
Requests service and supplies for the Advising Office copier.
Performs other duties as assigned.
Required Qualifications
Bachelor's degree with one (1) year of upper level administrative
assistant experience, or high school with five (5) years of increasingly
responsible administrative or clerical experience.
Intermediate or above skills in Outlook, Word, and Excel.
Excellent verbal and written communication skills.
Preferred Qualifications
Bachelor's degree with two (2) years of administrative or clerical
experience, or equivalent experience with high school and six (6) years
of increasingly responsible administrative or clerical experience.
Experience with PeopleSoft based system.
