Duties and Responsibilities
Essential Duties and Responsibilities
The Administrative Assistant reports directly to the Associate Vice President of Information Technology and performs administrative duties and the day-to- day operations associated with the Information Technology office.
Characteristic Duties and Responsibilities
Assists in preparing the annual budget documentation and other administrative functions for the division.
Maintains close communication with all divisional managers regarding correspondence, files, and reports.
Schedules meetings and appointments and ensures that meeting rooms are reserved, and audio-visual equipment is available as necessary.
Attends general meetings called by the Information Technology, takes notes, prepares and distributes minutes of meetings.
Prepares and distributes materials pertaining to divisional affairs for Board of Trustees meetings.
Works closely with divisional managers and provides advice regarding budgets and account numbers.
Prepares routine and confidential letters, forms, reports, memoranda, and other material from rough drafts, copy instructions, and/or shorthand notes.
Develops and initiates office forms and procedures and recommends methods for improving existing procedures.
Receives, sorts, and screens incoming mail and routes outgoing mail.
Greets screens, directs and provides information to visitors.
Places, answers, screens, and directs telephone calls, taking messages when required.
Maintains a variety of complex files and records, including confidential matters.
Collects and compiles data and prepares divisional reports as required.
Reviews records, reports, and other material for clerical and arithmetic accuracy and completeness.
Trains and supervises work-study students assigned to the Information Technology department.
Facilitates all required record keeping of meetings and other special functions for the department.
Acts as divisional office manager for the divisional unit.
Performs other related duties assigned.

Required:
Associate's degree (A.A.) or equivalent from a two-year College or technical school: and/or two years related experience and/or training; or equivalent combination of education and experience.
Secretarial experience to a high-level administrator in an educational setting or higher-level general office administration may be substituted for education.
