The compensation for this appointment will range from $18.00 to $23.00 hourly and reflects what California Baptist University reasonably expects to pay for this staff appointment. Actual compensation may vary based on the qualifications and experience of the applicant, as well as market conditions. In addition to wages, CBU offers a robust suite of employee benefits.

Position Summary Information

Summary

Under the direction and general supervision of the Senior Director of Alumni, Parent and Donor Engagement, the Administrative Assistant for Alumni, Parent & Donor Engagement oversees and coordinates the day-to-day activities of the office and serves as the principal point of administrative contact and liaison with internal and external constituencies. May provide specialist services in the areas of public and community relations, department events, general business administration, and/or alumni and parent affairs.

Essential Duties and Responsibilities

  • Provides administrative support to the Senior Director of Alumni, Parent & Donor Engagement.
  • Serves as the primary point of administrative contact and liaison with other offices, individuals, and institutions; coordinates and attends committee meetings.
  • Oversees and administers the office's day-to-day activities; develops policies, procedures, and systems that ensure productive and efficient office operation. Maintains department budgets and processes weekly requisitions for all cost centers in the department.
  • Acts as custodian of alumni and parent documents and records.
  • Creates and maintains database and spreadsheet files for budgets, events, and all department records.
  • Arranges and coordinates travel schedules and reservations.
  • Assists with regional events and alumni affinity groups, in conjunction with athletics, music, development staff, etc. to maximize alumni constituent engagement.
  • Serves as the contact person for alumni to easily engage with the University, primarily focused on: Alumni and family updates (employment, continuing education, marriages, families, death, etc.), employment and internship opportunities, volunteer opportunities, and referral of prospective students.
  • Coordinates the preparation of agendas and minutes, room reservations, meeting schedules/notifications, elections, etc., for the Alumni Board, Parent Executive Council, and Parent Prayer group gatherings.
  • Assists with the membership functions of the Alumni, Parent, and Grandparent Associations.
  • Manages the Alumni Directory, both print and electronic versions, as necessary, to help maintain an accurate alumni database.
  • Works with schools and departments to strengthen the organization and institutional relationships to better support ongoing alumni events within the university, and the college community.
  • Coordinates regional and national alumni events acting as the administrative liaison assisting with agendas, travel, activities, and program.
  • Assists the Senior Director with maintaining all contracts/agreements with outside vendors.
  • Supervisory Responsibilities

    This position could be responsible for assigning work and/or giving direction to part-time Student Workers, in order to complete office work assignments.

  • Ability to create, compose, and edit written materials.
  • Ability to make administrative/procedural decisions and judgments.
  • Ability to generate and execute creative ideas, as well as be able to manage multiple projects simultaneously.
  • Must be highly organized who is able to remain calm in a fast-paced environment.
  • Attention to detail and ability to follow through with projects.
  • Education and/or Experience

    Bachelor's degree from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
