Primary Duties and
Responsibilities:
Serves as staff support for full-time and adjunct faculty and performs a wide
range of administrative support services for the Department/School assigned.
Provide general office administration for the Department of Chemistry &
Physics (CEM/PHY) including maintaining departmental records, ensuring
office adherence to University policies and procedures, supervising
student workers, and managing office inventory.
Provide general support to full and part-time faculty in CEM/PHY including
soliciting, submitting, and monitoring textbook and desk copy requests,
entering library orders, and assisting faculty as needed with BannerWeb,
DegreeWorks, and other university systems.
Coordinate room reservations for faculty and staff across campus for JAAC,
Serve as a first point-of-contact for students and visitors (by phone and
in person).
Provide information to faculty, staff, students and general public related
to Belmont University and College policy, procedures, and general
operations. Interact effectively and professionally with numerous persons
and organizations on and off campus.
Point of contact for faculty and staff with classroom issues on the fourth
floor of the Janet Ayers Academic Center.
Report building/maintenance/IT issues and monitoring these issues.
Coordinate departmental purchasing in conjunction with Dean’s Assistant
for the College of Sciences and Mathematics (CSM).
Responsible for entering departmental budget and track purchases for the
department.
Assists in facilitating conference attendance for faculty and students in
the Department of Chemistry/Physics with travel.
Assist with the Office of Career Development and First Destination Follow
Up for CSM graduates.
Oversees CSM academic course schedule development from an administrative
perspective as the CSM Dean's delegate.
Communicates with the Provost's Office, the Registrar's Office, the CSM
Dean, and CSM Department Chairs in the organization and creation of
semester schedules. Using Banner Schedule System (SSASECT), enters class
schedules, assigning lab space as requested by chairs; Works with Dean and
the EMS Coordinator to resolve classroom issues after EMS scheduling
software has assigned space; Updates schedule to reflect cancellations,
additions, rescheduling or modification of classes.
Assist with departmental event planning and promotion including
convocation events. Facilitate operation of SURFS summer program.
Provides support for Commencement and other occasional activities and
events that may occur on evenings and weekends.

Must have working understanding of budgeting and bookkeeping.
Ability to work with numerous software programs including Word, Excel, and
Office.
Ability to learn Belmont systems such as Banner, Argos, and Hannon Hill.
Must possess general working knowledge of busy office settings and use of
equipment.
Must be a self-motivated person with excellent customer service skills and
the ability to work efficiently with frequent interruptions and be able to
effectively handle multiple tasks.
Must be able to interact professionally and effectively with students,
faculty, other staff members, and outside visitors to the department.
Must be able to handle sensitive materials in a confidential manner.
Must have excellent communication skills, both oral and written.
Required Education High School Diploma or equivalent. Some college
coursework preferred.
Required Experience 0-2 years office or customer service experience.
The selected candidate will be required to complete a background check
