Position Details

The Temporary Administrative Assistant will:

  • Manage and monitor grant budget; process payroll, A/P vouchers, travel reimbursements, and other financial transactions.
  • Monitor fiscal activities of the grant and conduct analysis to identify/report on financial status of projects including compliance, forecasting, and project shortfalls.
  • Coordinate with internal and external providers, on logistics for center events: e.g., speakers, weekly colloquia, receptions, workshops, annual spring and fall conferences and other department events, to include scheduling, publicity, room reservations, hotel booking, travel and catering arrangements, and related activities.
  • Assist with communications to Advisory Board Members and Working Group Members.
  • Monitor CSCG Outlook Mailbox and CSCG Network Listserv (Google Doc requests to be added) and update list as needed. Assist with Listserv mailings.
  • Coordinate and attend Board Meetings. Provide written meeting minutes.
  • Maintain log of CSGS Activities and Future Projects.
  • Along with Director and Assistant Director, supervise/direct activities of CSGS Office Assistant(s) and Conference Assistants.
  • Assist with the hire and payments of student interns to include posting jobs on Handshake.
  • Order supplies as needed.
  • This is an on-campus, temporary (non-benefit eligible), position working approximately 10 hours per week through June 30, 2023. Weekly schedule may vary depending on events.

    Minimum Qualifications

    Associates Degree and four years related experience. Related experience and training may be substituted for educational requirement. Demonstrated attention to detail. Demonstrated proficiency in Word, Excel and Outlook. Proven ability to manage multiple tasks. Excellent communications skills. Ability to work independently.

    Preferred Qualifications

    Event planning experience. Experience managing grant funds.
