We are seeking a motivated and organised Administration Officer to support the effective and efficient operation of the Space and Site Services team of UQ Library.
Reporting to the Client Experience Manager, Space and Site Services, the role is responsible for delivering a wide range of administrative processes in support of team outcomes.
Duties and responsibilities include, but are not limited to:
Facilities and Spaces
Identify Library maintenance problems and liaise between Library staff and students with UQ Property and Facilities to provide an effective outcome across all Library locations at St Lucia, Gatton, Herston, and PACE.
Maintain an overview of Library maintenance problems and provide solutions.
Manage all enquiries logged in the Client Relationship management system.
Maintain an overview of student use of Library spaces and respond to changes in demands.
Contribute to the Library student experience by identifying gaps to ensure our spaces work for students.
Administer the Library room booking system.
Assess and advise Library staff regarding signage and liaise with suppliers.
Assess and advise Library staff regarding furniture and equipment requirements and liaise with suppliers.
Liaise with Library staff and UQ Property and Facilities regarding cleaning and waste disposal issues.
Assist with library building and refurbishment projects.
Liaise with Property and Facilities Division, key Library staff and commercial suppliers about major and minor project works.
Security
Assist the Client Experience Manager, Space and Site Services with security matters including:
Administer proximity card access and automatic door programming in the UQ security system.
Act as Library's Key Custodian and maintain the key register.
Monitor and follow up theft reports and other security issues.
Workplace Health & Safety
This is a full-time continuing position.
At HEW level 5 , the full-time equivalent base salary will be in the range $74,378.89 to $82,842.92, plus a generous super allowance of up to 17%. The total FTE package will be up to $87,023.30 to $96,926.22 annually. As this role is covered by an Enterprise Agreement, you will also receive regular remuneration increases.
About YouYou will have effective administration, coordination and interpersonal communication skills, effective organisational and time management skills and be committed to providing a high level of customer service.
Selection criteria
A qualification in business or facilities related field or an equivalent combination of relevant experience and/or education/training.
Administrative experience particularly in relation to facilities and financial matters.
Working autonomously with good stakeholder management skills.
Experience in a University and/or Library environment.
Good analytical skills and attention to detail.
Good self-organizational skills and the ability to meet deadlines in a pressured environment and to work as part of a team.
Knowledge of Workplace Health and Safety Legislation and the University's Workplace Health and Safety policies or the ability to quickly acquire the knowledge.
Effective interpersonal and communication skills.
Well-developed digital capability and knowledge of or the ability to quickly acquire knowledge of UQ digital systems.
An ability and willingness to participate and contribute positively and effectively to the Library Student Experience team.
An ability to exercise tact, courtesy, judgement and maintain confidentiality.
