Macquarie University is looking to hire an Administration Officer to provide high level secretarial, administration and operational support to the Executive Director, Philanthropy and senior staff within the Philanthropy team.


• Salary Package: From $75,400- $85,728 per annum (HEW 5) plus 17% employer's superannuation. • Appointment Type: Full-time, Fixed Term for 12 months • Location: Macquarie University, Wallumattagal Campus at North Ryde


The Vice-Chancellor is the chief executive of the University, with overall responsibility for its academic, research, administrative, financial and development strategies. The Vice-Chancellor is tasked with promoting the interests and furthering the development of the University.

Philanthropy within the Office of the Vice-Chancellor is responsible for all philanthropic activity across the University and creates, develops and manages relationships with alumni, friends and donors, and other supporters who help advance the University's mission.


This role will primarily provide confidential secretarial, administration and operational support to the Executive Director, Philanthropy, along with administrative support to senior staff within the Philanthropy team. It will prioritize and coordinate the schedule and activities of the Executive Director, Philanthropy. Liaison with stakeholders to build itineraries to support all domestic and international travel for the Executive Director. Also, focus on developing and maintaining relationships with key internal and external stakeholders. The incumbent will research and prepare documentation, papers, and presentations for the Executive Director, Philanthropy. They will take initiative in gathering, collating and analysing data and information and make recommendations to support the Executive Director, Philanthropy in making decisions.

The role will also provide support with budgeting activities including preparation of monthly progress reports to inform expenditure and highlight any issues along with leading the administrative support for the Philanthropy team activities, including functions, projects, campaigns and briefings.

Selection Criteria

In your application you should address the following criteria :

  • Qualification in business administration and/or equivalent experience.
  • Experience working in a fast-paced administration role, including diary management and providing direct support to a Head of a function and/or a team of senior managers within a complex organisation.
  • You should have excellent written and verbal communications skills with the ability to build rapport with a diverse range of clients and stakeholders and a high level of customer service skills.
  • Time management and organisational skills with demonstrated ability to coordinate and deliver on competing deadlines.
  • Experience in preparing agendas, minutes, reports, presentations and papers of a high quality.
  • Experience in monitoring and tracking budgets and analysing data with an attention to detail.
  • Demonstrated experience in developing and implementing administrative process improvement.
