An opportunity exists for an Administrative Assistant to provide a wide range of office coordination and administrative support activities to the UQ Rural Clinical School Toowoomba Regional Clinical Unit The role involves high level customer service, reception and administrative support, processing bookings and relevant financials, liaising with internal and external stakeholders, and facilitating the efficient and effective functioning of the office's day to day procedures, operations, logistics and assurance of standards.
This position reports to the Team Leader.
Key responsibilities will include:
Perform administrative duties, such as document maintenance & retrieval, recordkeeping, preparing routine correspondence, logging & distribution of mail. Participate in the review and improvement of administrative processes.
Work closely with the team to assist with issues relevant to the management and maintenance of building facilities and services.
Administer relevant financial in line with University financial policy and procedures to ensure the effective and orderly running of the office.
Travel and Out of Hours Work
Attendance at programs and/or functions outside normal business hours may be required and will be remunerated in accordance with standard University policy.
This position may require some travel, the individual must be willing to undertake air travel and needed particularly between the Rural Clinical School sites and any of the University's domestic campuses or locations.
This is a full-time (100%), fixed-term position through to the 31st December 2024.
At HEW level 4, the full-time equivalent base salary will be in the range $68,735 - $72,968, plus a generous super allowance of up to 17%. The total FTE package will be up to $80,420 - $85,372 annually.
As this role is covered by an Enterprise Agreement, you will also receive regular remuneration increases – at least once a year.
About YouWe are seeking a motivated, organised, and reliable Administration Assistant to support the effective and efficient operation of the UQ Toowoomba Regional Clinical Unit.
Applicants should possess a Cert IV or Diploma with relevant work experience or an equivalent combination of relevant experience and/or education/training. Additionally, you will demonstrate:
High level of organisational, record-keeping and time management skills.
Experience in the preparation and drafting of correspondence and other material such as minutes.
High level computer skills in a variety of packages and the ability to become an effective user of business enterprise systems.
Ability to work independently, and within a team environment, using initiative, judgement, and discretion.
Excellent interpersonal skills including the ability to communicate and liaise effectively with diverse groups within and external to the University and work co-operatively with colleagues across the organisation.
A strong orientation to the provision of a high level of customer service
Excellent accuracy, analytical skills and attention to detail
Ability to maintain confidentiality.
Current Class C Driver's licence.
Desirable experience in and a commitment to living and working in rural and/or regional Australia.
Knowledge of Tertiary Education sector business practices and processes would be an advantage.
