Title: Accounts Payable Technical Specialist

Department: Finance

Tenure: Full time, Maternity Cover

Location: 121 SSG - Hybrid

Reporting to: AP Manager

Objective: As part of the Accounts Payable team, manage the processing of all manual Purchase Order requests and on-line requisition support and queries. The timely and accurate registration of supplier invoices, query handling and supplier statement reconciliations. Perform ad hoc Accounts Payable duties as required such as review of open purchase orders, maintenance of rejected invoices and creation of new suppliers.

Specific Duties & Responsibilities of this post will include:

• Accurate and timely processing of Purchase Order requests in line with internal processes and working as part of the team to develop on-line requisitioning

• Provide support to staff on the online requisitioning tool

• Maintaining Items to follow Up transactions with the target to clear on a weekly basis

• Maintaining the Finance check on requisitions that require Finance approval

• Maintaining the Expect PO from Supplier tasks

• Answering queries from the Purchase Order mailbox

• Accurate and timely processing of supplier invoices according to procedures and taxation rules

• Completion of Intrastat returns

• Dealing with all queries from internal and external stakeholders with a strong focus on providing a high standard of customer service

• Processing ad hoc payment requests, ensuring accurate approval

• Supplier statement reconciliations, perform monthly reconciliations as requested

• Purchase order reviews as required – identify which POs can be closed using completed supplier reconciliations

• New supplier set-ups, prepare accurate and complete documentation

• Providing cover for the Accounts Payable team as required

• Undergoing programmes of training and development as may be required

• Representing the best interests of the RCSI at all times

• Performing such other related duties as may be required
