About the Role The Academic Support Officer provides high quality administrative support for the faculty's academic programs within the Office for Environmental Programs (OEP), School of Geography, Earth and Atmospheric Sciences (SGEAS) and School of Ecosystem and Forest Sciences (SEFS).

The role provides policy and procedural advice to the OEP staff and student- related central staff in all matters relating to student progression. Additionally, the role provides quality administrative support to course conveners and students and implements effective processes for academic programs administration in the OEP. The Officer operates in a busy front-house environment with competing demands and is a key interface between students, staff, and the school.

This role reports to the School Operations Manager (SGEAS), with reference to the Director of the OEP and the Academic Support Services Team as required.

Responsibilities include:

  • Providing comprehensive support in all student administration, and ensuring all advice is consistent, timely and based on university policies and procedures, including but not limited to, maintaining the student/supervisor database, coordinating OEP based assessment, seminars, subject experience surveys
  • Providing support and management of the course planning process for incoming and current graduate students, including ensuring regular review of handbook information, design of LMS-based course planning tools, and management of the student booking system
  • Providing support for nominated OEP committees including organising meetings, preparation of agendas, taking, writing and distributing minutes and following up on actions required
  • About You You will have excellent interpersonal and communication skills and ability to deal with a range of people internal and external to the University, and the ability to work with people from diverse cultural backgrounds. You will be self-motivated and flexible, with the capacity to work autonomously and collaboratively as part of a team. You will have excellent attention to detail and ability to respond to competing demands and have well-developed oral and written communication skills.

    You will also have:

  • A completion of a degree without subsequent relevant experience, or an equivalent combination of education, training, and experience
  • Demonstrated experience in the provision of higher education student administrative support, with a capacity to exercise sound judgement, initiative and time management skills, prioritising tasks effectively
  • Experience in providing support to a range of committees
  • Demonstrated commitment to the delivery of excellent customer service and continuous improvement to the standard of service
  • To ensure the University continues to provide a safe environment for everyone, this position requires the incumbent to hold a current and valid Working with Children Check.
