The Department of Electrical and Computer Engineering (ECE) has as its mission the accumulation, generation and dissemination of knowledge in Electrical and Computer Engineering. Central to the mission is a high quality research and educational program that benefits our students, the State of North Carolina, the nation and the world. The Department acts as a focal point for development, growth and entrepreneurship. The national and international reputation of the Department facilitates future growth in areas of fundamental economic importance to the State. As one of the largest engineering departments in the College of Engineering, ECE has almost 1,900 students enrolled and has elite faculty recognized at the highest levels.

Essential Job Duties

General Scope of Duties:

  • The purpose of this position is to support the educational mission of the department with administrative duties, undergraduate advising, and managing undergraduate scholarships and the study abroad database.
  • This position reports directly to the Coordinator of Advising (COA). In addition to advising, this position assists the COA by managing the undergraduate student services office and serves as a resource on undergraduate policies for ECE faculty, staff, and students.
  • The main duties of this position are to:
  • Advise a portion of the Electrical Engineering and Computer Engineering students,
  • Create and maintain a study abroad database,
  • Award undergraduate students scholarships within ECE, and
  • Assisting ECE Academic Advisors during pre-registration advising.
  • Communication

  • Answer general student questions.
  • Manage the undergrad email account and the Undergrad Portal known as myECE.
  • Assist with organizing and scheduling Departmental tours by partnering with the ECE Ambassadors.
  • Know how to send a compassionate email to struggling students letting them know they need to change their planned classes or degree plan.
  • Manage the ECE 200 lab.
  • This person should be able to communicate effectively in a group setting.
  • Knowledge of the course ECE 200 and the ability to communicate with students to get them prepared for the lab.
  • Student Service

  • Copy advising forms, remove holds, and manage the online advising system.
  • Verify students meet the prerequisites to take ECE classes. Remove students who do not meet prerequisites from ECE courses and send an email notification that they were removed from the course.
  • Coordinate efforts for students needing an additional attempt in a course. Provide students with the online appeal form and answer questions along the way.
  • Process Curriculum Change requests when students wish to change majors within ECE.
  • Problem Solving

  • Copy advising forms, remove holds, and manage the online advising system.
  • Verify students meet the prerequisites to take ECE classes. Remove students who do not meet prerequisites from ECE courses and send an email notification that they were removed from the course.
  • Coordinate efforts for students needing an additional attempt in a course. Provide students with the online appeal form and answer questions along the way.
  • Process Curriculum Change requests when students wish to change majors within ECE.
  • Knowledge of Google Sheets and Google Forms. Organization skills are a must to accomplish awarding scholarships. Ability to learn quickly or have a working knowledge of University Policies to assist students in adding classes.
  • Planning and Organizing

  • Create a database of approved transfer classes for the study abroad office and for ECE students to utilize when planning to study abroad.
  • Schedule rooms for faculty as requested using the University system, Astra.
  • Strong communication skills to correspond with the general public and ECE Ambassadors to schedule and confirm tour dates. Ability to learn quickly or have existing knowledge of room scheduling systems, like Astra. Google Drive and Excel knowledge are required.
  • Advising

  • Advise a portion of the ECE students, including suggesting courses to take, knowledge of classes required for the degree, and recommended course load.
  • Run the prerequisite check 3 times a year and tactfully let students know they will be dropped from a class.
  • Support the Coordinator of Advising & other ECE Academic Advisors in advising ECE students when they are not around as they would support you.
  • Ability to learn quickly or have existing knowledge of the curriculum and classes that should not be taken together. Quick learner. Be comfortable with learning new websites and software, like Navigate, to schedule appointments with students. Have customer service experience.
  • Other Responsibilities

  • Qualifications

    Minimum Education and Experience

  • Relevant post-baccalaureate degree is required; candidates demonstrating comparable independent research productivity will accept a relevant undergraduate degree and 3 or more years of relevant experience in substitution. May require a terminal degree and licensure.
  • Experience in working with students in an academic setting.
  • Experience working with a student information system and familiarity with student records management, including applicable federal regulations that impact confidentiality.
  • Other Required Qualifications

  • Ability to work with a diverse student, staff, and faculty population.
  • Strong verbal and written communication skills.
  • Strong organizational skills.
  • Ability to function well as part of a team and work effectively with faculty, students, and other units on campus.
  • Ability to review and interpret policies to make independent decisions within policy guidelines.
  • Proficient in Microsoft Office programs and Google Drive programs.
  • Preferred Qualifications

  • Previous experience in using the MyPack Student Service System, Pack Assist Scholarship database, and EAB's Navigate software.
